This meeting’s focus: The Native American Event, Sunday, July 31

Finalizing details for

  • Tables
    • Two tables, one for information, one for water and cups.
    • Ask Bill Walczak if he has folding tables we could use.
    • If not, Michelle’s neighbor has one and Alix has one.
    • Doreen will bring the flyers with information on CSHCA.
    • Doreen has reached out to both the Dorchester Historical Society and Thomas Green to add any information about their organizations to the table.
    • Elizabeth will bring extra plexiglass frames for displaying a copy of the program, donation QR code, upcoming events, etc.
      • Michelle will email the file for upcoming events for Elizabeth to print out on colored paper.
      • Michelle has a fanny pack she can wear for any monetary donations.
    • Michelle will bring the CSHCA banner to hang across the tables.
  • Water and cups
    • Alix has a large cooler container we can put water in.
    • Doreen will bring 8 oz. disposable cups. Heidi suggested hot/cold cups so we can use any left over for future events.
    • We should bring a garbage bag for the disposable trash.
  • Flyers and Signage
    • Heidi and Doreen hung flyers throughout this side of the neighborhood today. Doreen will hang more in McKenna’s and the other side of Savin Hill tomorrow.
    • On the day of, Doreen and Heidi will put up the easel stands to direct people to the top of Savin Hill Park via Caspian Way.
  • Programs
    • Doreen has created a simple program – two on one page for printing.
    • Doreen will send the file to Michelle who will print out 20 color copies. Doreen will also print out 20 color copies, for a total of 80 programs – one per family.
  • Amplification and set up
    • Heidi will get Bill Walczak’s phone number to Doreen.
    • Doreen will contact Bill Walczak to arrange for
      • Hardwired amplification and mikes
      • A date to walk through the area to decide where things will be set up.
      • Availability of tables for water and informational flyers.
      • A few extra folding chairs for the speakers and special guests.
    • Doreen will reaffirm that Bill will speak about the history of the area from the settlers’ perspective.
  • Videotaping the event?
    • Michelle has a DSL camera that has a movie mode. She volunteered to bring her tripod to take pictures and to record the various interesting parts, especially the Blessing Ceremony.
  • We plan on arriving at the top of the hill no later than 12:30 PM on Sunday to set everything up.

The next meeting: Thursday, July 28, 7 PM Zoom to further discuss the upcoming Community Picnic. Heidi will add the link for this in the CSHCA calendar and send out the zoom link to committee members.

We briefly discussed issues with Patten’s Cove and DCR regarding the Community Picnic.

 Unforeseen costs include

  • DCR suddenly requiring over $200 to “staff” the event due to the size.
    • Update: Southline will cover this.
  • One band asking $350 to play instead of $100. For two bands that would be a sizeable sum. Try to get sponsors.
  • Event insurance of $295 is required by DCR. This cost is being covered by a donation from Southline.

July 28, 2022 Meeting

Native American Event, Sunday, July 31

  • We are all set for Sunday.
  • Alix will drop off the cooler for water, table, and outdoor extension cord to Michelle Saturday morning.
  • Doreen will arrive a the top of the hill between 12:15 – 12:30PM

Community Picnic, Saturday, August 13

  • The permit for Patten’s Cove use was approved. Staffing and insurance costs are being covered by Southline.
  • The icon for the Instagram page has been created. Alix hopes to link the Instagram page to the Facebook group.
  • Final edits were made to the flyer.
    • Alix will email it to Michelle to print out.
    • Doreen will help post around the neighborhood after Sunday.
    • It can be posted to social media sites as well starting Monday, August 1.
  • Agreed to have two bands, each would play for two 45-minute sets (= 1.5 hours each) for $200 each.
    • Aaron Bear has agreed to play.
    • Alix will reach out to Kirk, Elizabeth’s neighbor, to see if he is amenable to play for $200.
    • Alix will contact Southline about electric needs for the amps as the bands will be set up closer to Southline.
  • Alix and Michelle are looking for sponsors to defer costs.
    • Ask Heidi to reach out to Frank Baker to perhaps sponsor one of the bands ($200) as he told her in the past he would be willing to sponsor something.
    • Alix intends to walk down to the Daily to try to get sponsorship for this event.
  • We will try to get a balloon person for $100.
  • Doreen has the roll of raffle tickets for individual donated prizes. It is dwindling and perhaps we should get a back-up roll. Boxes can be made for each prize.
  • Doreen will create an e-list of the emails for elected officials and post it to the shared Google File for invitations.
  • List of lawn games include
    • Cornhole (Michelle)
    • Ladder ball (Michelle)
    • Spike ball (Alix)
    • Frisbees
    • Volleyball – determine who may have a set up
    • Badminton – who has one?
    • Resources for games include
      • Play it Again Sports
      • Sierra Trading Post
    • Alix is willing to make a personal investment in some lawn games for us to use.
  • Alix will purchase the canopy tent to put over the band.
  • About 5-10 volunteers are needed for set up at 9 AM and break down at 5 PM. Reach out to Lavinia and on social media.
  • Alix will post to the Facebook Dorchester Kayaking Club and encourage them to come, bring their kayaks, and perhaps share them with people at the picnic.
  • There is the issue of trash at the Cove. Alix will contact Catherine O-Neill to see if Southline will keep its commitment to maintain the cove to include keeping it free of trash.

Food Tour, tentative date August 20

  • It has been arranged with the restaurants.
  • We only need to advertise and sell 15 tickets.
  • There was discussion about pushing it out to September when the weather is a bit cooler and more amenable to walking around.

Next Meeting to further discuss the Food Tour: Tuesday, August 9, 7 PM Zoom. Heidi should add this to the CSHCA calendar.
