Events Commitee Meeting Minutes, 7/30/24

Community Picnic, September 21, Patten’s Cove, Noon-4 PM

  • Alix will apply for the permits at least 45 days in advance.
  • Our focus should be on:
    • Fundraising
      • We can communicate over email on fundraising.
      • Heidi suggested creating a spreadsheet to keep track of everything.
    • Raffles
      • James Hobin is willing to donate one of his prints for the raffles.
    • Food
  • If Southline cannot supply electricity, the Home Depot in Somerville rents generators. Heidi will look into getting a $100 gift card from Home Depot to cover the cost of the generator. Someone will need to pick it up and return it the day of.
  • Michelle has a price on the food vendor Mig’s Hot Dogs.
  • Bill Walczak will reach out to Catherine O’Neil, liaison to Southline, for their potential sponsoring of:
    • Portapotties (one might be enough)
    • Possibly providing an electric connection
    • Money to cover food costs for Mig’s, approximately $1,500.
    • Allowing a potential ice-cream truck to park on their property adjacent to the picnic site.
  • If you think of anything else Bill can ask of Southline, email or text him.
  • Alix will update the flyer to hand out to potential sponsors, raffle donations, and the ice-cream truck.
  • Music will be provided by
    • Sand Machine
    • Savin Hillbillies
  • Each band will play for 1.5 hours and be paid $250. Heidi will reach out to Councilor Fitzgerald to see if he would be willing to sponsor the cost of the bands ($500).

Art in the Park with Local Artist James Hobin

  • Sunday, September 29 from 2-4 PM at the bottom of Savin Hill Park by the rock monument.
  • Rain date: Sunday, October 6.
  • James envisions different artistic activities and levels of complexity to accommodate a range of ages.
  • We need at least 4 tables for the art supply set up. Among Doreen, Alix, and Michelle we have 3 tables. Beautification may have a fourth. Let Bill Walczak know if we need more.
  • We will pay James $200 for his time and effort.
  • Doreen will touch base with James in August to get an estimate on costs for the art materials and anything else we might need. We will ask membership to cover the costs of this event at the September meeting.
  • Doreen will secure any permits we need to utilize the park space.
  • Bill will reach out to Rosemary Powers to see if Cristo Rey would supply some folding chairs.
