Events Committee Meeting Minutes, 3/25/25

Park Clean-Up, April 26

  • Alix is still coordinating with DCR for supplies to use in Patten’s Cove.
  • Alix will update the flyer and print it out at work.
  • Doreen will drop off 40 water resistant sheets of paper for the flyers.
  • Alix will share printed flyers with Doreen and Heidi to post two weeks prior to the event (April 11).

Update on Art in the Park in June

  • Doreen has heard from the art director of the Boys and Girls Club, Katy, Farrar, and has agreed to move the date to Sunday, June 29 to accommodate them. She will be speaking with Katy on Wednesday by phone on details. The chairs asked if would mention the Community Picnic to see if they would be interested in being part of that.
  • Doreen has not heard back from Dot Art as of yet.
  • Doreen has been in contact with James Hobin and Janet Lynch. Janet is definitely interested in taking part. James was not sure of his availability but said he would help facilitate the planning and recruiting of artists.
  • We will be working with a $1,000 budget if approved by membership.

The Events Budget for 2025

  • This has been submitted to CSHCA President Bill Walczak for review.
  • Doreen will bring it up at E-Board on March 31 to make sure it gets put on the agenda for April 7 for a membership vote, looping in IT Manager Taufiq Dhanani to create the ballot.
  • When presenting the budget for a vote on April 7, it was suggested that we show membership how much fundraising and sponsorships in the past defray the need to use CSHCA budgeted funds via:
    • CSHCA merchandise sales
    • Raffles
    • Donations
    • Sponsorships
  • Alix and Michelle will put together those numbers from past records.

Beautification Plant and Bake Sale

  • Doreen will email Elizabeth Doyle to get a date for this event. She will suggest it occur before Mother’s Day to help with sales.
  • The Events Committee will help out with getting donations and set-up. In the past we have gotten donations from:
    • Mahoney’s (gift card)
    • Star Market (plants, herbs)
    • Konditor Meister (pastries)
    • Home Depot (Plants) – Elizabeth took care of this.

The Mothers’ Group Easter Egg Hunt, April 13, 3:15 PM

  • Heidi added the event to the calendar.
  • Can we raise money at this event?
    • Michelle will check with the Mothers’ Group if this is possible.
    • CSHCA branded tote bags were suggested. Alix will check into this and see how quickly we can get something printed.
    • Other ideas include:
      •  A raffle for a Mystery Easter Egg. Prizes could include:
        • An Easter Bouquet from the Daily or Colleen’s.
        • An Easter basket of chocolates from the Philip’s House.
  • We could offer coffee and water to attract people to our table.
  • Heidi, Doreen, and Michelle would be available to man the table.
  • Michelle has the banner, and T-shirts.
  • Alix has a tent if needed.
  • Doreen will check the supply of raffle tickets and will order more if necessary.
  • We agreed there can be at least one raffle item, especially if donated.
  • We can follow up with further details and discussion if necessary by email or a quick Zoom call.
