Events Committee Meeting Minutes, 9/27/22

Food Tour, Saturday, 8th, 11 AM-2 PM

  • Tickets are $50 to cover the cost of the food. Three have been sold so far.

  • The chairs will also
    • Reach out to Cod and Dot.
    • Have Des Rohan include the info and link to purchase tickets in the newsletter going out this Friday before the general meeting.
  • Michelle Miller and Alix will work out the budget numbers for printing the maps/postcards and send this information to Heidi to include in the budget request at the next general meeting.
  • Review the food tour map to make sure it is not too similar to the one originally designed by the local artist. Edits can be made by Heidi if needed.

Music in the Park Event, Sunday, October 16, 1-5 PM

  • Internally we can call it “Rocktober Fest,” but since it is an acoustic event, it is officially called Music in the Park.
  • A member of the Savin Hillbillies will help with equipment logistics.
  • Confirmed musicians include
    • Tamra Grace Jones, an opera singer
    • Eric Surat, guitar
    • Noah Parekh, guitar
    • The Carney Family, vocals with guitar
    • Sand Machine, acoustic
    • Conifer Blue, guitar
    • Savin Hillbillies, folk music
  • Time slots are
    • 15 minutes for soloists
    • 25 minutes for bands
    • 2 hours for the main headliner: Savin Hillbillies
  • Soundcheck for all musicians is from 12-12:45PM
  • Heidi will try to get a donation of 5 pizzas to offer the approximately 17 musicians during the soundcheck. We will request approval for funding from general membership as a back-up. Alix will be willing to pick up the pizzas the day of the event. Plates and napkins will be needed.
  • Flyers will be updated and posted one week prior to the event. Signage will be put out the morning of the event.
  • Three tables will be set up, provided by Michelle Miller, Alix Giannetti, and Heidi Moesinger.
    • A books and bulbs table will be set up to give away books, sell bulbs, and display the CSHCA banner and QR code for donations. Michelle Miller and Elizabeth Doyle have the items for this.
    • One table will be for musicians to use for their items.
    • The third table will be for hot beverages: hot water with hot chocolate packets, hot cider packets and/or tea. We need to replenish our hot beverage cup supply.
  • The chairs will extend an invitation to the event to local elected representatives including Councilor Baker, George Huynh, Representative Dan Hunt, and Senator Nick Collins.
  • The budget request for this event is $150.

Christmas Caroling

  • Wednesday, December 14 with a rain date of Thursday, December 15, starting at 5:30 PM
  • Heidi will simplify the carols and reprint the booklets. Michelle can print booklets at work.
  • Ask Ashlyn if her Dad is willing to be Santa again. If not, find someone else.
  • Perhaps people on the route can request a specific carol ahead of time for $5.00 – a donation to either the CSHCA or a local charity.
  • Request a budget of $300 (based on last year) to cover the costs of hot chocolate, candles, lighted paraphernalia, printing of flyers, etc.
  • The route for this year will be determined at the November meeting.

The Mayor’s Trolley Tour and Holiday Tree Lighting

  • The Events Committee members will play a supportive role in preparing the gift bags with Des and wreaths for sale with Elizabeth.
  • The chairs will get an update from George Huynh concerning the date, place and time, and other details.

The Children’s Halloween Parade Saturday, October 29, 3:30 PM

  • This is organized by Brianne, leader of a local mothers’ group.
  • Michelle Miller will email Brianne with a cc to Heidi, asking if she is going to request a donation from the CSHCA at the upcoming meeting. Michelle will also inform Elizabeth Doyle if Brianne is coming to the meeting so she can put her on the agenda.
  • The parade will start at McConnell Park and process down to Savin Hill Park.

Events Committee Social Walk

  • Plan a social get-together of the committee members.
  • Send out an email to determine what works best for all members who are interested.

Events Committee Budget Request for the General Meeting

  • Heidi will give the updates and make the request for the committee budget for the rest of the year’s events.
  • The budget items include
    • Food tour printing costs – $20 for postcard printing
    • Music in the Park – $100, for 5 pizzas for the musicians, hot beverages, and printing.
    • Christmas Caroling – $400 (based on last year’s budget) for printing song books, hot beverages, cups, stirrers, candles and other lighted paraphernalia, and jingle bells.
