Budgetary Items for the Community Picnic

  • Money on Hand ($3,650)
    • $ 250 – City Councilor Fitzgerald sponsorship
    • $ 400 – T-shirts
    • $ 500 – Dedicated money unused from the Dot parade
    • $2,500 – Eversource sponsorship (yet to be received)
  • Expenses so far ($1,185)
    • Permits: $ 55.
    • Insurance: $ 350.
    • DCR Worker: $ 280 (last year’s price)
    • Bands: $ 500
  • Remaining budget ($2,465)
    • Food for about 75+ people –  hire a food truck
    • Portapotty (?)
    • Face Painting or other artists (?)
    • Other?

Updates

  • Southline will provide two 20-amp extension cords for power and will allow us to use their parking lot.
  • James Hobin is supplying a print for the raffles.
  • The event has been posted to social media sites and sent to the Dorchester Reporter.

Action Items

  • Michelle will
    • Call the Chicken and Rice Truck for availability and pricing.
    • Approach local establishments for raffle items.
  • Alix will
    • Call DJs for catering availability and pricing.
    • Call Mr. Gourmet Sausage for availability and pricing.
    • Check on the status of our permit.
  • Bill will
    • Reach out to Eversource
      • To verify the status of their $2,500 donation.
      • To have them relocate a portapotty for use at the picnic.
    • Provide 4 plastic tables
  • Heidi will
    • Call Rosemary Powers for the use of 15 chairs.
    • Try to track down the ice-cream truck to hand the owner a flyer and invite him to come to the event to sell his wares.
    • If unsuccessful in getting the ice-cream truck, she’ll call Konditor Meister for a donation of cookies.
    • Double check with Sand Machine on their arrival time.
  • Doreen will
    • Print and hang flyers around the neighborhood.
    • Arrange with Coleen’s for balloons.
    • Update the two realtor signs for placement the day of.
  • Everyone will
    • Meet Friday, 9/20, at 6 PM at the cove to do a walk through and pick up any litter.
    • Set up at 9 AM on Saturday, 9/21.
  • Updates on the food trucks will be communicated and the vendor decided upon via email.
  • Among Alix, Michelle, and Doreen we have three tables. Cold water will be provided for people to refill their containers. Doreen has cups and raffle tickets.
