Events Committee Meeting Minutes, 11/29/22

Christmas Caroling, Wed. December 14, meet at 5 PM at the tennis courts

  • Publicizing
    • Michelle has posted flyers on Facebook and Instagram, at Honey Comb and McKennas, as well as around the neighborhood.
    • Michelle shared about 13 or so flyers with Alix to distribute at the tree lighting and post around the neighborhood.
    • Heidi will create a map of the route to post around the area. The route begins at the tennis courts, goes down Playstead Rd., up Denny St., and right on to Savin Hill Avenue ending at the rock monument intersection, where we can assess if people want to continue or not. Michelle will print out the maps for posting throughout the neighborhood. She can also post to our social media sites.
  • Supplies
    • Michelle has purchased 6 boxes of candy canes to add to the candy canes left over from the tree lighting, shaker bells, wristlet bells, lighted headbands and necklaces, 50 battery operated candles, and 6 elf hats.
    • Heidi and Alix have plenty of packets of hot cocoa from former events.
    • Doreen has the lidded hot cups, the portable PA system and battery-operated lantern. Others may also have lanterns.
    • Alix has the CSHCA banner.
    • Alix and Michelle will bring their tables to set things on. Alix will bring the hot water.
    • Des Rohan still has the Santa costume. We will remind him at the upcoming December general meeting to return it.
    • The music booklet
      • Was reviewed at the meeting. Minor adjustments to the right margin will be made by Heidi, who will send out the final pdf for printing.
      • Michelle will print out 40 double-sided booklets.
      • Once printed, we will have an assembly party at Doreen or Heidi’s place.
    • Several people have baskets we can use for returning candles and shakers. An announcement will be made at the start for people to return the candles and shakers. If people leave mid-route, we will have a designated person with a bag to collect the candles.
  • Logistics
    • Alix will lead the group with the PA system.
    • Mark is playing Santa
    • Heidi, Michelle, and Doreen will hand out candy canes to kids.
  • Action Items Pre-Caroling
    • Heidi will update and share the music booklet and create a map of the route.
    • Michelle will print out 40 double-sided copies of the music booklet and a dozen or so copies of the route map.
    • Once the booklets are made, we will arrange for an assembly party at Doreen or Heidi’s.
    • Maps of the route will be posted around the area.
    • Alix will post remaining flyers throughout the area.

Future Planning

  • January, February and March will be planning months. We should dive into researching available grants from the City of Boston, Save the Harbor Save the Bay, and other organizations.
  • Upcoming events begin in April with the Park Clean-Up and Easter Egg Hunt organized by Brianna of the mothers’ group.
