Events Committee Meeting Minutes, 6/28/22

Budget and Financing (Des Rohan)

  • Around $2,500 was approved for upcoming events and will be segregated to our committee account.
  • Des is in the process of converting from Excel to Quickbooks.
    • Once complete, he will inform the committee chairs
    • He will share the Quickbooks ID with the chairs so that they can update any financial information related to their committee.
  • Des will create a dedicated Venmo ID for CSHCA to avoid confusion of people paying or making donations this way. Until then, continue to use his personal account.
  • People donating by check should write the specific committee’s name in the memo field so it can be allocated to the appropriate account.
  • How do we spend money and get reimbursed?

  • Try to keep payments to a single person under $600 to avoid the need for sending out 1099 tax forms.
  • For cash/raffles, put the money into your own account and Venmo the amount to Des.

Social Media Instagram and others

  • Set up an Instagram page. It should
    • Promote CSHCA events and other community events.
    • Be used for fundraising.
    • Link to the Facebook page.
    • Keep aligned with our mission and goals.
    • Be linked to a dedicated email account whose name is reflective of the whole CSHCA community.
  • Ask Taufiq for help if needed.
  • There is a CSHCA Nextdoor page with 157 members that we should post more often to.
  • Ideas to reach the neighborhood include:
    • Create a list of ways that we use to get information out to the neighborhood.
    • Establish an e-mail list for people interested in upcoming events.
    • Use Constant Contact to create a newsletter for events that can push it out automatically to various social media sites. Taufiq is a good resource for help.
    • Create public posting boards in key locations.
      • Where?
      • What are the logistics with the city?
    •  Work with the Outreach & Engagement (OEC) and Beautification Committees.
    • Get local real estate people to hand out CSHCA flyers to new home owners and renters in the area as a way to welcome them to the neighborhood.

Native American Event Updates (Doreen), Sunday, July 31, @ top of Savin Hill, 1 – 2:30 PM

  • Thomas Green of the Neponset tribe is the main guest speaker for the final hour. He will include
    • The history and customs of the Native tribes who lived here.
    • Some interactive activities, especially for children present.
    • A final blessing ceremony for the hill and area.
  • Bill Walczak had agreed to open the event with about 20 minutes or so of the history of the hill from the settlers’ perspective. This could be interactive as well.
  • Heidi and Doreen will check the viability of the portable amplifier to see if it will suffice. If not, Bill has agreed to run wiring for a small amp and mics, which he has.
  • We should make sure the grass is cut prior to the event.
  • We should set up a table with
    • flyers about CSHCA and membership forms (loop in Marc Antoine from OEC),
    • Cold water in large thermos containers and cups for people to slake their thirst.
    • A sign-up sheet for email contacts for interest in future events.
  • Doreen will make sure Jim Hobin is aware of and invited to this event.

Savin Hill Happy Hour (Alix)

  • This is an informal gathering for music at the top of the hill that will run from about

6:30 PM until dusk.

  • The Events Committee will sponsor and promote 2 events – one in July and one in August – with Aaron Bear @ $150 each, dates TBD.

Book Swap (Michelle), Sunday, July 17

  • This will take place in the morning, time slot TBD.
  • Michelle will contact Rosemary Powers at Cristo Rey for permission to use their front yard entry way for greater visibility.
  • Books left over can be donated to More Than Words.
  • Loop in Marc Antoine from OEC to set up an information table.
  • Flyers will be created to promote this event.

Food Tour “Eat Your Way down Dot. Ave” August 20, 3-6 PM (Alix and Michelle)

  • Alix and Michelle met with Annie from Little Saigon to plan.
  • Five restaurants are taking part.
    • We’ll begin in a Vietnamese restaurant in Savin Hill and work our way towards Field’s Corner ending at a dessert place.
    • Samples will be provided with the chef coming out to talk about the history and cultural background of the food.
    • Tickets are $50 a piece, limited to 15 people.
    • The chairs received a quote of $450 for someone to design a map/souvenir for the event. They will look for other quotes.
    • The chairs will do a walk through the week before to finalize the preparation.
  • Some ideas to subsidize the ticket cost include;
    • Ask if any of the restaurants would be willing to auction off their chef coming to a private home to prepare a meal.
    • Use the $100 in the budget to offset ticket cost.

Community Picnic (Alix), August 13 @ Patten’s Cove, noon to 5 PM.

  • Alix met with Catherine O’Neil who represents the clients at Southline. They have agreed to let us use their facilities for restrooms so we don’t have to have portapotties.
  • The $45 permit for this DCR space is for the basic reservation of the area.
  • We may need Liability Insurance.
    • Des will check with Mike Keamy if this was needed for the event they held at Richardson Park.
    • Ask Southline to cover this cost.
  • There will be no vendors, staging or security.
  • There will be live music by various musicians, lawn games, kayaking, balloon artists and other entertainers. Elizabeth Doyle suggested her neighbor Kurt as one of the musicians. Alix will contact him.

Savin Hill Neighborhood Yard Sale, September 10, 9 AM – 2PM (Heidi)

  • This will be advertised on social media, via flyers, and in the Dorchester Reporter.
  • The rain date is Sunday, September 11.

  • Have the Beautification Committee set up a table to sell bulbs by the park. Include informational flyers about CSHCA.

Yoga at the Beach (Alix)

  • The Events Committee will sponsor 2 sessions most likely in early September – dates and times TBD.
  • We have one quote from Aaron’s partner of $75 for 90 minutes.
  • There are other known yoga instructors, like Karma, we can ask as well.

Recent Events Review

  • The plant sale was a success and made about $600.

Action Items

  • Elizabeth Doyle will
    • Forward the chairs the e-mail contacts of our city councilors and of Rosemary Powers, President of Cristo Rey.
    • Provide the Constant Contact information to the chairs for promotional purposes.
  • Purchase Name tags for use at events. Plastic reusable ones would be a good investment.
  • Create sub-committees to divide up tasks for upcoming events before our next meeting. An e-mail with possible meeting times will be send out.

  • The CSHCA banner is available to use at all events. Contact Elizabeth Doyle.
  • Elizabeth also has standing Plexiglass picture frames for displaying flyers or information as well as colored paper for printing.
